What do the balances on the money pot mean?
Short answer: Current balance is what the pot holds today. Balance with coupons takes out the month's fees and the coupons that are still usable. Available balance also takes out what is already promised to orders.
The boxes
| Box | What it gives | When it appears |
|---|---|---|
| Current balance | What the pot actually holds, across every recorded movement. | Always. |
| Balance with coupons | The current balance less the current month's fees and the value of issued coupons that have not been used yet. | When either exists. |
| Available balance | The lowest of the three: everything above, less orders waiting for funds and orders sent for payment. | As soon as any amount is committed. |
The three read left to right as a narrowing: what came in, what survives the outstanding coupons, what is actually free today.
Why several figures
A discount coupon is only debited at the moment it pays for an order. Between issue and use it does not show in the current balance even though it is already promised. Balance with coupons is what would be left if every one of those coupons were used on the same day.
Available balance goes further: it also removes the amounts an order is already claiming — a coupon that has been used and the pot could not cover, and an order a buyer has sent to your organisation that is waiting for your decision. Those amounts have not been debited yet, but they are owed.
Gift cards are not counted twice: they were debited when they were created.
What to look at before spending
Available balance is the one that says what you can commit without blocking something else. Hover a box: a bubble recalls what it covers.
